What Is Personal Information

CUMU acknowledges that there are many potential definitions of “personal information.” Our working definition of personal information is any information about an identified or identifiable person, which can include direct identifiers such as name, mailing address, email address, and telephone number, or indirect identifiers such as IP address or location data. This list of data elements is not exhaustive, and we consider the definition of personal information in the broadest reasonable context.

CUMU collects and uses information that, alone or in combination with other information, could be used to identify you (“personal information”) in order to deliver our programs and services and to inform you of resources related to our mission, as described below. This information is collected through online forms, member registration, event registration, correspondence, and our day-to-day business relationship with you.

1. Collection of Information by CUMU

By using CUMU’s website, services, and software platforms, you may be asked to provide personal information, including your name, mailing address, email address, telephone number, employer or affiliation, professional title, and other generalized background information. The purposes for collecting this information will be made clear to you at the point of collection.

Additionally, CUMU automatically collects information about your computer hardware and software when you interact with our website. This information can include, without limitation, your IP address, browser type, domain name, operating system, access times, and referring website addresses, and is generally not linked to your personal information. We also receive information about how you use our services.

Regarding IP address and clickstream data, our server automatically collects information about your device’s Internet address when you visit our site. When you request pages from our website, our servers may log your IP address and sometimes your domain name. Your IP address is used to help identify your browsing session and to gather aggregate demographic information about our visitors as a whole, but is not, by itself, used to identify you personally.

Our server may also record the referring page that linked you to us (for example, another website or a search engine), the portions of cumuonline.org you visited, any search terms you entered on cumuonline.org or a referral site, and other web usage activity and data logged by our web servers.

Information You Provide to CUMU

CUMU collects personal information that you voluntarily provide in the following circumstances. This includes, but is not limited to:

• When you become a CUMU member or are added to a member institution’s roster, including your name, title, employer or institution, work address, email address, phone number, and professional interests.
• When you complete electronic forms on the CUMU website (for example, the Join CUMU form, the contact form, or email subscription form) to request information, opt in to communications, or otherwise engage with CUMU.
• When you register for or attend a CUMU event (such as the CUMU Annual Conference, webinars, virtual programs, huddles, or other professional learning opportunities), including registration information and voluntarily shared accessibility or dietary
• When you submit a proposal to present, present at, or evaluate proposals for a CUMU event, including your name, employer, contact information, and content associated with your proposal or evaluation.
• When you correspond with CUMU by email, postal mail, or other form of communication, including the information contained in that correspondence.
• When you submit content for or otherwise contribute to the Metropolitan Universities Journal or other CUMU publications.
• When you voluntarily participate in a CUMU survey, interview, focus group, or research

Information Collected Automatically Through the Website

As is common practice for most websites, CUMU collects certain information automatically when you visit cumuonline.org. The types of automatically collected data include search terms used on the site, new or returning user information, browser information, device type, operating system, internet service provider, website usage, referring and exit pages, platform type, date and time stamps, and number of clicks. CUMU may use this information in combination with profile or registration information to better understand how the website and its services are being used. We may use information about your IP address to help diagnose problems with our server, analyze trends, track visitor engagement, enhance security, and investigate actual or potential security incidents.

Please note that the CUMU website may include links to external sites. These privacy practices do not apply to those external sites, and CUMU makes no promises regarding the privacy policies or business practices of those other websites.

Log Files

CUMU follows a standard procedure of using log files. These files log visitors when they visit our website, as is common for all hosting companies as part of hosting analytics. The information collected by log files includes IP addresses, browser type, internet service provider, date and time stamps, referring and exit pages, and the number of clicks. This information is not directly linked to personally identifiable information. It is used for analyzing trends, administering the site, tracking users’ movement on the website, and gathering aggregate demographic information.

2. How We Use Your Information

CUMU uses the information it collects — whether personal, demographic, aggregate, or technical — to operate and improve cumuonline.org, foster a positive user experience, and deliver the programs, services, and member benefits that CUMU offers. Specifically, CUMU may use your information to:

• Provide, operate, and maintain the CUMU website, member portal, and related

3. Disclosure of Personal Information to Others

General Sharing

CUMU does not sell, rent, lease, or trade your personal information to third parties. CUMU does not disclose your personal information to third parties, except as set forth below.

Service Providers and Sub-Processors

CUMU discloses information to companies and individuals it engages to perform functions on CUMU’s behalf, including hosting CUMU’s web servers, analyzing data, providing marketing and email distribution services, managing the member portal and event registration, processing payments, conducting video conferencing, and providing customer service. These companies and individuals may have access to your personal information as necessary to perform their functions on CUMU’s behalf, but they are not authorized to share that information with any other third party for unrelated purposes. CUMU’s service providers include, but are not limited to, those identified in the Addendums to this Privacy Statement.

CUMU makes no promises regarding the policies or business practices of third-party service providers and encourages you to review their privacy policies before providing them with your personal information.

Partners and Co-Sponsored Events

Some CUMU events, publications, or programs are organized or sponsored with partner organizations. In those cases, CUMU may share registration or contact information with those partners or sponsors. Where reasonably possible, CUMU will provide an opportunity to opt out of such sharing at the point of registration.

Legal and Protective Disclosures

CUMU may share personal information with companies, organizations, or individuals outside of CUMU if CUMU has a good-faith belief that access, use, preservation, or disclosure of the information is reasonably necessary to: (1) comply with any applicable law, regulation, legal process, or enforceable governmental request; (2) enforce applicable terms of service, including investigation of potential violations; (3) detect, prevent, or otherwise address fraud, security, or technical issues; or (4) protect against harm to the rights, property, or safety of CUMU, our members, our users, or the public, as required or permitted by law.

4. Cookies, Web Beacons, and Local Storage

The CUMU website uses cookies. Cookies are small text files placed on your browser that store information such as visitor preferences and the pages on the website that the visitor accessed or visited. CUMU uses aggregate and user-level site data derived from cookies to benchmark website performance and inform its programs and communications.

The CUMU website may also contain electronic images known as web beacons (sometimes called single-pixel GIFs) that allow CUMU to count users who have visited certain pages. Web beacons are not used to access your personally identifiable information; they are a technique used to compile aggregated statistics about website usage. Web beacons collect only a limited set of information, including a cookie number, time and date of a page view, and a description of the page on which the web beacon resides.

5. Advertising

CUMU may use display advertising on third-party websites and search engines, which measure performance and user behavior in relation to those advertisements. Third parties, such as Google, may show CUMU advertisements to various audiences and provide CUMU with data that helps it evaluate performance and assess user interactions before, during, and after visiting cumuonline.org. To do so, CUMU may place tags or pixels on its website to capture information and inform interest-based advertising.

6. Access, Opt-Out, and Modification of Your Information

CUMU may provide account holders limited access to, and the ability to modify, their personal information. Whenever you use CUMU services, we aim to provide you with reasonable access to your personal information. If that information is wrong, we strive to give you ways to update it quickly or to delete it, unless we are required to retain the information for legitimate business or legal purposes. When updating your personal information, we may ask you to verify your identity before we can act on your request.

If you are receiving newsletters, commercial emails, or other communications from CUMU and subsequently change your mind, you may opt out by selecting the unsubscribe link in those communications, by emailing info@cumuonline.org, or by calling (410) 704-3700. CUMU may continue to send you transactional communications (such as receipts, registration confirmations, or essential account notices) regardless of your opt-out preference for marketing communications.

7. State Privacy Rights

Residents of certain U.S. states have specific rights under applicable state privacy laws. These rights may include, depending on your state of residence:

• The right to know or access the categories and specific pieces of personal information CUMU has collected about you.
• The right to request deletion of personal information CUMU has collected about you, subject to legal and operational exceptions.
• The right to request correction of inaccurate personal

8. Payment Card Information

You may choose to purchase goods or services from CUMU using a payment card (for example, when paying membership dues or registering for an event). Payment card information is provided by you, through CUMU’s third-party association management or payment processing service, into a PCI-DSS-compliant payment processing environment. CUMU does not store your full payment card number on its own systems.

9. Security of Your Personal Information

CUMU has implemented commercially reasonable technical and organizational measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, or disclosure. However, no system is one hundred percent secure, and we cannot guarantee that unauthorized third parties will never be able to defeat those measures or use your personal information for improper purposes.

CUMU restricts access to personal information to employees, contractors, and agents who need that information to perform their roles, and who are subject to confidentiality obligations. In the event of a personal information breach, CUMU will, in accordance with applicable state and federal laws, inform affected individuals about the breach and any remedial actions being taken, and will notify the relevant authorities as required.

10. Data Retention

CUMU retains your personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, to provide the programs and services you have requested, to comply with applicable legal obligations, to resolve disputes, and to enforce CUMU’s agreements. CUMU may retain certain information indefinitely to make your repeat use of cumuonline.org and CUMU services more efficient, practical, and relevant, except where law or your verifiable request requires otherwise.

11. Communications from CUMU

CUMU may contact you by the email address, postal address, or phone number you have on file with CUMU for business purposes. CUMU sends transactional emails to individuals with whom it has a business relationship; these emails relate to services purchased or requested and cannot be opted out of without ending the underlying service.

CUMU also sends marketing emails and, occasionally, postal mail containing promotional information about CUMU programs, resources, and services. You may opt out of these marketing communications at any time by emailing info@cumuonline.org or by calling (410) 704-3700. If there is a concern regarding your personal information that CUMU is required by law to disclose, CUMU will use the email address on file for you.

12. Children

The CUMU website and services are not intended for children under 18 years of age. CUMU does not knowingly collect personal information from children under 18. If you believe CUMU has collected information from a child under 18, please contact CUMU at info@cumuonline.org so that the information can be deleted.

13. Changes to This Privacy Statement

If CUMU decides to materially change this Privacy Statement, we will post those changes through a prominent notice on the website so that you will always know what information we gather, how we may use that information, and to whom we may disclose it. The “Updated” date at the top of this Privacy Statement indicates when the Statement was last revised. CUMU reserves the right to revise this Privacy Statement at any time.

ADDENDUMS

CUMU uses the following third-party software tools to deliver its website, programs, services, and member benefits. Each tool may capture certain personal information from members, prospective members, and website users. The addendums below describe, in general terms, the categories of information that may be captured by each tool and how you may exercise choices regarding that tool’s data collection. For complete information on how each provider processes data, please review that provider’s own privacy policy at the link indicated.

Addendum A: Google Analytics

CUMU uses Google Analytics to track website usage. Google Analytics stores information about the pages you visit on cumuonline.org, how long you spend on each page, how you arrived at the site, and what you click on while you are there. CUMU does not configure Google Analytics to collect or store directly identifying personal information (such as your name or postal address) through the analytics service itself, and information collected by Google Analytics cannot, on its own, be used by CUMU to identify you.

If you wish to opt out of Google Analytics collecting your data, please use the Google Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout/. Google’s privacy policy is available at https://policies.google.com/privacy.

Addendum B: Google Forms

CUMU may use Google Forms to collect information from members, event attendees, survey respondents, and other website users. Google Forms collects the responses you submit in a form, which may include personal information such as your name, email address, employer or institution, professional title, and any other information you choose to provide in the form. Form responses are stored on Google’s servers and are accessible to CUMU staff who administer the relevant form.

Addendum C: LinkedIn

CUMU maintains a LinkedIn presence and may link to LinkedIn from the CUMU website. If you click a link from cumuonline.org to LinkedIn, follow CUMU on LinkedIn, or interact with LinkedIn content related to CUMU, LinkedIn may collect information about you in accordance with its own privacy policy. The information LinkedIn may collect includes data associated with your LinkedIn profile (if you are signed in) and standard web analytics information such as IP address, browser type, and pages visited.

Addendum D: Mailchimp

CUMU uses Mailchimp (a service of Intuit Inc.) to send email communications to members, prospective members, and individuals who have opted in to CUMU communications. When you subscribe to CUMU communications, the personal information you provide — which may include your name, email address, affiliation, and title — is stored on Mailchimp’s servers so that CUMU can send you the email communications you have requested. Mailchimp also records standard email delivery information associated with your subscription.

You may unsubscribe from CUMU email communications at any time by clicking the unsubscribe link included in CUMU emails, by emailing info@cumuonline.org, or by calling (410) 704-3700.

Addendum E: Novi AMS

CUMU uses (or will use) Novi AMS as its association management system. Novi AMS supports CUMU’s member portal, member directory, event registration, and related functions. When you create or maintain a CUMU member profile, register for a CUMU event, or otherwise interact with Novi AMS through the CUMU website, the personal information you provide — which may include your name, institution or employer, title, contact information, membership status, transaction history with CUMU, and event registrations — is stored within the Novi AMS platform so that CUMU can administer your membership and the services you have requested.

Addendum F: Zoom

CUMU uses Zoom Video Communications, Inc. (“Zoom”) to host webinars, virtual programs, huddles, and other online meetings. When you register for or join a CUMU Zoom event, Zoom may collect information about you, including your name, email address, employer or affiliation (where you have entered it), IP address, and technical information about the device and network you use to connect. If a session is recorded, Zoom and CUMU may store audio, video, chat, and transcript content from the session. Where a session will be recorded, CUMU will provide notice to participants.
